Unposted Time Entries and Disbursements

This report is a great overview of unposted time entries and disbursements against jobs based on the job branch and date range. There are two version of the same report: All Unposted Data and User’s Unposted Time Entries and Disbursements.

Report Parameters:

  • Start Date: Date you would like to run the report from.
  • End Date: Date you would like to run the report until.
  • Branch: Select one, multiple or all branches to display unposted entries based on the Job’s branch.
  • User (ONLY on User’s Unposted report): Select user’s own data

The first page if the report displays Unposted Time Entries:

  • Grouped by client and then by job
  • Displaying the job number, job title and job status
  • With time entry Id, time entry user name, start date – end date and duration.

The second page of the report displays Unposted Disbursements:

  • Grouped by client and then by job
  • Displaying the job number, job title and job status
  • With disbursement date, stock code, quantity, price per unit and total price

The third page of the report displays Unposted Disbursements against Appointment:

  • Grouped by client and then by job.
  • Displaying the job number, job title and job status
  • With appointment date, stock code, quantity, price per unit and total price

When a disbursement is assigned against an appointment it does not display against the disbursements tab of a job as it has not been “used” until the appointment is converted to a time entry.

Disbursements assigned in TimeTrak affect the “Not for Sale” location of stock items in MYOB Exo. For more information on this please see this article: https://timetrak.co.nz/blog/category/stock-in-timetrak/

This “Not for Sale” allocation includes disbursements assigned to appointments, meaning stock reconciliation can be difficult if historic appointments are not cleaned up, which is why this data is also included in this report.

This report is not enabled by default but is available to be imported as per below:

Note: This report has been designed in the inbuilt TimeTrak Report Designer (not built into the website) meaning once the report parameters have been submitted there is the ability to print the report as well as export the report to another file type including an excel spreadsheet.
